On behalf of our client—a top-tier global alternative investment manager operating across major financial hubs worldwide—we are looking for a meticulous and detail-oriented Data Operations Specialist to join their growing Warsaw operations.

In the world of quantitative and fundamental trading, clean operational data is the foundation of every trade, risk model, and settlement. This role is embedded in the core data engine of the firm, ensuring that trading desks, risk managers, and middle/back-office teams have access to accurate, timely, and fully reconciled static and referential data across global markets.

(Note: This position is not an engineering, data science, or software development role. While there may be opportunities to contribute to process improvements over time, day-to-day focus is on production data operations).

Key Responsibilities

• Daily Security Master Setup & Maintenance: Create, enrich, and validate security setups across diverse asset classes (Equities, Fixed Income, Listed Derivatives, CDS, IRS, and Structured/Exotic products).

• Entity & Master Data Administration: Maintain firm-wide core data domains, including Legal Entities, Accounts, Counterparties, Broker setups, and fee structures.

• Corporate Actions Processing: Review, verify, and reflect the impact of corporate actions on trading books, firm positions, and downstream reporting engines.

• Exception & Break Resolution: Investigate and resolve data discrepancies, feeds breaks, and reconciliation exceptions in a timely and controlled manner.

• Cross-Functional Collaboration: Act as an operational point of contact for traders, portfolio managers, risk teams, and middle-office specialists regarding static data inquiries.

• Vendor & Partner Management: Liaise directly with market data vendors and external counterparties to challenge discrepancies, track tickets, and ensure SLA adherence.

• Documentation & Controls: Maintain clean audit trails, update standard operating procedures (SOPs), and log issues systematically using ticketing tools (e.g., Jira).

What We Are Looking For

• Relevant Experience: 3–5+ years in Data Operations, Security Master Administration, Market Data, or Middle/Back-Office Operations within an investment fund, custodian bank, or financial institution.

• Hands-On Mindset: Extensive, proven experience with heavy data entry, static/reference data curation, and detailed exception handling.

• Instrument Knowledge: Solid understanding of financial markets and instruments (Equities, Fixed Income, Derivatives/Swaps) and how corporate actions impact them.

• Excel Proficiency: Advanced practical skills in Microsoft Excel (VLOOKUP, XLOOKUP, Index/Match, Pivot Tables, data validation, and handling large data files).

• Market Tools: Hands-on experience working with the Bloomberg Terminal (data navigation, retrieving identifiers, pulling reference data points into Excel).

• Workflow Tools: Familiarity with issue-tracking and workflow platforms (e.g., Jira, ServiceNow).

• Soft Skills: High level of accountability, extreme attention to detail, resilience with routine operational tasks, and strong English communication skills (daily collaboration with international teams).

Nice to Have

• Working knowledge of SQL (simple queries, SELECT, JOIN, GROUP BY) to inspect data directly in databases.

• Prior experience with third-party reference data vendors and feeds.

• Curiosity regarding how operations can be optimized or streamlined over time.
